The Problem Statement

Tracking and monitoring the fleet is essential, especially in the circumstances like van breakdown or updating the shipment status to the clients. You’d be required to inform whether or not the van is still at the base or on its way to the customer’s location to deliver the goods. Without a good TMS, our client was facing difficulties managing the same.

The Challenge

  • Updating the spreadsheets after every order, shipment, delivery, etc., was excruciating.
  • Hassle of updating information about orders and customers in TMS solutions
  • Once updated, split the leg (order) of the appropriate leg so it can be taken to a different location for delivery or pickup.
  • Keeping track and monitoring the location of the fleet.
  • Maintaining the reefer’s temperature and fuel levels.
  • By following up with them, determine which chassis or containers the drivers are picking up for delivery, Live load, Pickup, and Drop loaded.

The Solution

The information entered for our client was well organized and maintained. A separate sheet is created under one workbook for driver hours, dispatch sheets, and so on. Keeping records and maintaining an excel sheet is so convenient that it can be emailed to the client on the fly or worked on concurrently on online sheets so that it is synchronized and both the company owner and their employees can see and update it.
We contact the drivers via Whatsapp chat groups and phone calls to determine which container is leaving the yard for delivery and which chassis so that the next driver can be assigned a different chassis#. As a result, it is critical to find and update in excel as soon as possible so that the next dispatcher knows which containers are available or ready for the next load.
